Holiday Charity Bash Intern

SUMMARY

The American Small Business Coalition (The ASBC) is seeking an intern for the planning and execution of the 5th Anniversary Holiday Charity Bash™. The opportunity is available during the summer and/or fall semesters of 2013. The position is unpaid, but eligible travel and telecommuting expenses will be reimbursed. This is ideal for someone studying Event Planning, Tourism Administration or other like courses is a plus. The ASBC will complete the departmental requirements if the student wishes to gain academic credit.

The Special Events Intern will assist with the planning and implementation of the Holiday Charity Bash™ presented by The ASBC. The Holiday Charity Bash™ is in its 5th year and is attended by over 300 guests who are members of The ASBC and government contracting community. Money raised through the Holiday Charity Bash™ is donated to American Freedom Foundation, which provides funding for programs that serve the needs of veterans and military families. INTERNSHIP DESCRIPTION

The Intern will be part of the Holiday Charity Bash™ planning team comprised of The ASBC leadership, staff and volunteer-business executives who are members of The ASBC. The Intern will be assigned duties in various areas such as: silent auction, public relations, marketing, sponsorship, and venue logistics. The intern will have a lead role in one of the key areas of the event planning, depending on his/her interest. While the Intern will work under the direction of the Holiday Charity Bash Coordinator, he/she will receive guidance from the President and CEO. There will weekly meetings and site visits located in McLean, Virginia (Tyson’s Corner). The internship will require an average of six hours per week, with the more time-intensive weeks leading up to the event which is scheduled on December 4, 2013.

PRIMARY RESPONSIBILITIES

  • Clerical/Administrative:
    • Perform a variety of administrative functions as related to the Holiday Charity Bash™
    • Respond to web and telephone inquiries
    • Make outgoing follow-up calls and inquiries for Silent Auction donations and sponsorships
    • Keep information updated through reports to Holiday Charity Bash Coordinator
    • Manage multiple projects
    • Uses Microsoft Office products to create and modify documents
    • Prepares correspondence, reports, and materials for publications and presentations
    • Maintains electronic filing system
    • Prepares mailing lists and labels for special mailings
    • Other duties as assigned
  • Marketing
    • Contact other organizations to make them aware of the event and request support for marketing to their members
    • Assists with posting event to various web-based calendars
    • Use of social media to make others aware of event

KNOWLEDGE AND SKILL REQUIREMENTS

  • Good verbal, reading and writing skills and command of the English language
  • Basic math skills (adding, subtracting, multiplication and division)
  • Ability to establish priorities and manage workload
  • Strong working knowledge of Microsoft Office products
  • Ability to conduct business over the telephone in an appropriate and professional manner
  • Attention to detail, excellent organizational skills, and discretion with confidential information
  • Previous experience in an office environment and customer service related skills preferred
  • Knowledge of graphic production/presentation programs like Adobe InDesign are a plus
  • Good internet skills, including use of e-mail programs and group messaging
  • Pleasant, professional presence and people skills
  • Requires high school diploma or equivalent
  • Superb confidentiality and ethics are imperative due to the sensitive nature of information processing and handling requirements.
  • Proven ability to handle multiple projects; work in a fast paced environment with great attention to detail
  • Read monitors and paperwork. Requires regular use of telephone, PC monitor and keyboard

ADDITIONAL REQUIREMENTS

  • Must be able to lift 25 lbs.
  • Must be able to meet with Holiday Charity Bash Coordinator on specified days

WORK LOCATION

The Intern will meet with the Holiday Charity Bash Coordinator on a weekly basis at the Mason Enterprise Center in Fairfax VA

REPORTS TO Holiday Charity Bash Coordinator

PROVIDES SUPPORT TO Holiday Charity Bash Coordinator, Holiday Charity Bash Committee and President.

  • Voice mail account (corporate phone system)
  • Email account (corporate email domain)
  • Office supplies as needed

COMPENSATION

This is an unpaid internship where academic credits may be earned

SCHEDULE

6-8 hours per week
